Salesforce Account Hierarchy Sync

Keep parent and child accounts in MonetizeNow in line with the account hierarchy in Salesforce.

Overview

MonetizeNow supports parent and child accounts, which power the parent and child quoting experience. The MonetizeNow managed package can keep that hierarchy in line with Salesforce: when an account's Parent Account is set in Salesforce, the account is linked under that parent in MonetizeNow.

Whether Salesforce owns the hierarchy is your choice, controlled by the Sync Salesforce Account Hierarchy setting:

Choosing whether Salesforce owns the hierarchy

Turn Sync Salesforce Account Hierarchy on when Parent Account in Salesforce is accurate and you want MonetizeNow to follow it.

Leave it off when the account hierarchy is managed in MonetizeNow, is loaded from another system, or Parent Account means something different in your Salesforce org. With it off, account syncs never change the hierarchy in MonetizeNow.

Salesforce wins while the setting is on

Every account sync makes the hierarchy in MonetizeNow match Salesforce. An account with no Parent Account in Salesforce is detached from any parent it has in MonetizeNow, and a parent set in MonetizeNow is replaced with the one from Salesforce. Changes to the hierarchy made in MonetizeNow are not written back to Salesforce.

Turning it on

  1. In Salesforce, open the MonetizeNow Configuration page, check Sync Salesforce Account Hierarchy, and save. The page explains what Salesforce owning the hierarchy means before you save.
  2. Optionally check Sync Account Hierarchy on Quote Creation as well. See Creating a quote.
  3. Add the Sync Hierarchy to MonetizeNow action to your Account page layout, under Mobile & Lightning Actions.
  4. Optionally add the Parent MonetizeNow Id and Sync Error fields to your Account page layout and list views.
  5. Bring your existing hierarchies over. Accounts are linked as they next sync. To bring a hierarchy over at once, run Sync Hierarchy to MonetizeNow on its top-level account; it covers up to 5 levels and 250 accounts. See The Sync Hierarchy to MonetizeNow action for larger hierarchies.

How it works

Parents sync before their children

An account can only be linked under its parent once the parent exists in MonetizeNow, so the managed package makes sure parents get there first.

  • When sync is turned on for an account, or the account is moved under a different parent, sync is also turned on for its parent accounts, up to 20 levels up. They are sent to MonetizeNow ahead of the account, in the same sync, so the account can be linked straight away.
  • Changing Parent Account on a synced account syncs it, so its parent in MonetizeNow follows: it is moved under the new parent, or detached when Parent Account is cleared.
  • If an account's parent is already on its way to MonetizeNow in another sync, the account waits about a minute so the parent can be created first.
  • Contacts with Enable Sync on under a parent account whose sync is turned on this way sync too, as soon as their account is in MonetizeNow.

When the parent is not in MonetizeNow yet

If an account's parent cannot be linked yet, for example because the parent's own sync failed, the account still syncs to MonetizeNow and its Sync Error shows:

Once the parent syncs, its child accounts that show this warning are synced again automatically, which links them and clears it. Other sync errors are not retried this way: fix the cause and sync the account again.

Creating a quote

With Sync Account Hierarchy on Quote Creation checked, creating a quote also creates the quoting account's child accounts in MonetizeNow, already linked under their parents, before you are taken to the quote. The parent and child quoting experience is then available right away.

  • Up to 25 child accounts, up to 5 levels below the quoting account, are created while you wait. Sync is turned on for the rest of the hierarchy, up to 250 accounts and 5 levels deep, and those accounts sync in the background. Larger hierarchies may require automation, such as a Flow or a Data Loader update, to turn on Enable Sync for the remaining accounts.
  • Child accounts that are already in MonetizeNow are reused rather than created again. They are moved under the right parent if their parent in MonetizeNow differs.
  • A problem with the hierarchy never stops the quote from being created. A child account that could not be created while you waited syncs in the background instead.

This option only takes effect while Sync Salesforce Account Hierarchy is on.

The Sync Hierarchy to MonetizeNow action

Sync Hierarchy to MonetizeNow syncs an account and its child accounts, up to 5 levels and 250 accounts, turning on sync for any that have it off. A message shows how many accounts were queued.

Use it to bring an existing hierarchy over after turning on Sync Salesforce Account Hierarchy, or to re-sync a hierarchy after fixing a sync problem.

For a larger hierarchy, run the action again on an account further down, or turn on Enable Sync for the remaining accounts with automation such as a Flow or a Data Loader update. Each account is linked under its parent as it syncs, in whatever order they sync.

The action needs permission to edit the Enable Sync field on Account. While Sync Salesforce Account Hierarchy is off it does nothing and shows Account hierarchy sync is turned off.

Account fields

Hierarchy warnings in Sync Error

These warnings mean the account synced to MonetizeNow but could not be linked under its parent.
