How to Amend Contracts
Contract amendments allow you to modify existing contracts by changing pricing, quantities, dates, or adding new products. Here's how to create and manage amendments effectively.
Creating an Amendment
To amend an existing contract:
- Go to the contract you want to modify
- Click on the 3-dot menu
- Select "Amend"
- Make your necessary changes
- Process the quote
Amendment Considerations
Renewed Contracts Cannot Be Amended
Once a contract has been renewed, the original contract can no longer be amended. You will need to amend the new renewed contract instead.
Early Renewals Cannot Be Undone
Early renewals create credits and update many records in the system, and are thus irreversible. It is recommended best practice to add approval rules on early renewal quotes to prevent accidental processing.
If a early renewal is accidentally processed instead of an amendment:
- Note you cannot pull back the early renewal status and you may need to create a new contract for the specific period you want to bill for.
- Contact support if you need to move the auto-generated credit from an existing bill group to the renewal bill group before processing an invoice.
Minimum Commit Products
For minimum commit products, amendments can only be made at billing period boundaries (typically at the beginning of the contract or at renewal). Mid-period changes are not supported because minimum commits represent contractual obligations for the entire period.
Amendment Date Boundaries
When adding new offerings to an amendment quote, the offering dates must fall within the contract's effective start and end dates. If you're amending a future contract (like an auto-renewed contract), you may encounter errors when trying to add offerings with today's date.
When Amendments Aren't Possible
If you cannot create an amendment, consider these alternatives:
- Create a one-time invoice for the specific charges
- Create a new contract for the specific period needed
- Cancel the existing contract and create a replacement contract
Important: If both an amendment and renewal are created but the renewal is signed before the amendment, the amendment will automatically be cancelled and superseded by the renewal. Always process amendments before renewals when possible.
