Getting Started
1. How do I access the AI assistant?
The AI assistant is automatically enabled for users with the Tenant Admin and Billing Admin roles. No setup is required. Access will be expanded to additional roles in the near future.
To disable it for your account, contact your CX team.
2. What can the AI assistant do?
The assistant can read data from your MonetizeNow tenant to help answer questions about quoting and billing. It can:
- Surface information about quotes, invoices, accounts, and products
- Answer questions about your tenant data
- Run queries to generate reporting insights This allows you to retrieve information quickly without building reports manually.
3. What can't it do?
- The assistant currently has limited write capabilities.
- Creating or updating quotes is in alpha and may work only with very specific inputs.
- Because this may interfere with existing workflows, we recommend reviewing outputs carefully before using them. For example, if quotes are normally created from opportunities in your CRM, we recommend continuing to follow that workflow.
- The assistant also cannot create saved reports. However, it can surface most of the information you would normally retrieve from a report on demand.
4. How do I get the best results when asking questions?
Be as specific as possible. Include relevant details like account name, contract duration, product or offering names, quantities, and dates. The assistant may ask clarifying questions if something is missing.
5. Can I use it for financial or legal advice?
No. The assistant is not a substitute for financial or legal counsel. As with any AI tool, outputs may be incomplete or inaccurate. Always review responses before using them for operational, financial, or legal decisions.
Usage & Limits
6. Is there a limit to how many questions I can ask?
Usage is tracked per tenant. During this limited release phase, if you reach your usage limit, contact your CX Team and we can help increase it.
7. How do I give feedback?
You can share feedback through:
- Your shared Slack channel with MonetizeNow
- Your CX Team We plan to add an in-product feedback option in a future release.
Data Privacy & Security
8. How does it work?
The assistant securely connects to your MonetizeNow tenant and uses AI to understand your questions and retrieve relevant data. Each session is fully isolated to your account, and the assistant cannot access or expose data from other customers.
9. What data does the assistant collect?
The following is stored per session:
- Session metadata (session ID, user ID, tenant ID, timestamps),
- Conversation history
- Contextual information (e.g., which quote, invoice, or account was active),
- Token usage for quota tracking. This data is used solely for conversation continuity, usage management, and troubleshooting. It is not shared with other tenants.
10. What data in my tenant does it have access to?
The assistant has access to your reporting data and the following areas of your tenant: quotes, rates, offerings, accounts, contacts, quote offerings, bill groups, and invoices.
11. Is my data secure?
Yes. Key security measures include:
- Authentication: All sessions require a valid auth token validated against our identity service.
- Authorization: Access is restricted to users with Tenant Admin or Billing Admin roles.
- Tenant isolation: All sessions, data, and API calls are scoped to your tenant ID. Cross-tenant data access is not possible.
- Secrets management: All credentials and API keys are stored as environment variables, never hardcoded.
12. What happens to my data after a session ends?
Session and conversation history is retained for troubleshooting and incident handling only.
13. What if I have data privacy or security concerns?
Contact your CX team and we'll involve the appropriate people to assist.
