New Tenant Checklist
A simple checklist to set up your MonetizeNow tenant, covering company details, team roles, proration, addresses, and product catalog structure, so you can launch quickly with confidence
1. Complete Company & Legal Entity Setup
- Navigate to Settings → Company Settings → New Entity.
- Upload your company logo and address—these will show up on customer-facing quotes and invoices.
- Optionally, create separate entities for different geographies or sub-brands to handle styling, currencies, or catalogs uniquely.
2. Set Billing & Contact Details
- Decide whether your billing address (used for invoices, taxes) and contact address (for communication) are different, and organize them accordingly in the system.
3. Invite Your Team & Assign Roles
-
Add team members and assign roles like Tenant Admin, Sales Admin, Billing Admin, etc., based on
-
Example structure:
-
RevOps Manager → Tenant Admin (full access)
-
Sales Manager → Sales Manager role (Create/Edit sales teams & view all quotes)
-
Finance/Billing → Billing Admin or Billing Read-Only roles
4. Decide on Proration Method
-
For subscription products where changes occur mid-billing period, choose between:
- Day-Based Proration: Calculates charge based on actual days used (e.g., $120/year x days used ÷ 365)
- Month-Based Proration: Counts full months and applies proration only to the final partial month
-
Make this decision upfront—this affects how invoices are calculated when customers upgrade/downgrade mid-cycle.
5. Design Your Product Catalog Structure
-
Start by defining your core products:
- Are they subscription-based, usage-based, one-time, or a mix?
- Will you include minimum usage commitments?
-
Create Products, then group them into Offerings (bundles or standalone).
-
Define Rates with pricing frequency (monthly, annual), pricing model (flat, volume, tiered, custom etc.).
-
Keep names and descriptions clear, using consistent naming conventions for a great quoting experience
6. Plan Renewal Pricing Strategy
- Decide if you'd like to apply a price uplift on renewals, such as a fixed or maximum percentage increase. This will be clearly shown on renewal quotes to avoid surprises.
7. Set Up Quote Defaults & Terms
- Upload or configure MSAs, Quote headers/footers, and Terms & Conditions under Settings → Quote Settings.
- Use conditional logic (“If-this-then-that”) to apply the right terms automatically based on deal specifics.([MonetizeNow][1])
8. (Optional) Integrations & Technical Setup
- API Key: If you’re integrating other systems, generate one under Settings → API Keys and store it securely.
- CRM/Accounting/Tax integrations: Set up tools like Salesforce, QuickBooks, Stripe, Anrok, Avalara etc., as needed.
- Webhooks: Configure webhooks for real-time events like
invoice.created
,subscription.updated
, etc.
