Editing an Accepted Quote

Overview

This feature allows Tenant Admins to edit accepted quotes. If the quantity, products, prices of your deal can change immediately after signing a deal this feature supports this need. We find this is most likely relevant to businesses that require dedicated time to provision their products and that provisioning may or may not be possible for the fully sold quantity. However, use this feature with caution, as it introduces risks and bypasses standard rules associated with quote processing.

Prerequisite

  • Tenant Level Setting: Automatic processing upon acceptance must be disabled at the tenant level before an accepted quote can be moved into an editable state.
  • Admin Control: This feature is only available to Tenant Admins.

Important Considerations

  • Use at Your Own Risk: Editing an accepted quote is a high-risk operation and should be used sparingly.
  • Rule Execution: Validation rules do not execute when edits are made to an accepted quote.
  • Editing Restrictions: The following items cannot be edited:
    • eSign Contracts
    • Quote Documents
    • Contract Start Date

Steps to Move an Accepted Quote into an Editable State

  1. Log in to the system with a Tenant Admin account.
  2. Navigate to the Quotes section.
  3. Locate the Accepted Quote you wish to modify.
  4. Click on the hamburger menu and select edit quote.
  5. Review the warning message and confirm your intent to proceed.
  6. Make the necessary changes within the permitted fields.
  7. Once edits are complete, accept the changes and continue the quote lifecycle as desired.

  • Limit Usage: Only move quotes to an editable state when absolutely necessary.
  • Communicate Changes: Inform relevant stakeholders when modifying an accepted quote.
  • Verify Edits: Double-check all modifications before finalizing, as rules will not be re-executed.
  • Audit & Compliance: Keep records of all changes for future reference.
