E-Signature FAQ
E-signature functionality in MonetizeNow allows you to send approved quotes directly to customers for digital signing through integrated providers like DocuSign and Adobe Sign.
When Can E-Signature Be Used?
- E-signature can only be initiated on an Approved quote.
- Once sent, the e-signature envelope moves through these statuses:
- Sent → Viewed → Completed (or Declined/Voided)
- These statuses sync back to the quote automatically
How can I make sure my team is able to send quotes via e-sign
To use the Send for Signature feature, ensure the following requirements are met:
- Your e-signature provider connection is configured and e-signature is enabled on the quote
- You've selected a customer signer and a company signer
- You've chosen the sending preference (sequential or simultaneous)
MonetizeNow will create the envelope with your provider and deliver it to recipients. When completed, the signed PDF is automatically attached back to the quote.
E-Signature vs Quote Sharing
- E-signature and quote sharing can be used together:
- Quote sharing: Reps manually copy and share the quote link via email or CRM
- E-signature: When a customer accepts a shared quote, it can automatically trigger the e-signature email from your provider
Adding Additional Documents
To include additional documents like MSAs or legal terms in the signing package, use Conditional Terms or attach separate PDFS for more bespoke documents. This allows you to add legal clauses, security requirements, or special conditions directly to the quote document for a single signature flow.
Common Scenarios and Solutions
Sender Identity Errors
If you receive sender identity errors, verify that the quote owner's email is an active user in your connected e-signature account (e.g., DocuSign).
Integration User Changes
If your primary integration user needs to be switched to a different user, you'll need to:
- Move any in-flight quotes back to "Review" status
- Transfer existing envelopes to the new user account through your e-signature provider
Re-approval After Editing
If you need to edit a quote after sending for signature, it may trigger approval rules again. However, Administrators can enable the "Allow Administrator to Retain Approvals" setting under Additional Settings to selectively retain approvals when making minor edits.
