Using AI in Your Role
Overview
This guide shows sales reps, billing reps, and reporting users what they can ask the MonetizeNow AI to do, with prompts you can copy and adapt.
You can reach the same capabilities in two ways:
- Monty, the AI Assistant inside MonetizeNow.
- The MCP server, which connects MonetizeNow to AI clients such as Claude and ChatGPT. See MCP Server to set it up.
The AI can only see and do what your own MonetizeNow role allows. If you can't open a quote in MonetizeNow, the AI can't open it for you either. See Users & Roles.
Always review the AI's workWrite access is in alpha, and AI can make mistakes. Check every quote, amendment, or renewal it drafts before you send it.
MCP server or Monty
| Monty | MCP server | |
|---|---|---|
| Where you use it | Inside MonetizeNow | In Claude, ChatGPT, or another MCP client |
| What it can read and change | The same records and actions | The same records and actions |
| The record you have open | Monty sees it, so "summarize this quote" works | Name the record, for example "summarize the latest quote for Acme" |
| After it creates a quote | Opens the new quote for you | Gives you a link to the new quote |
| Working with other tools | MonetizeNow only | Combine with your client's other connectors, for example to draft an email about a quote |
| Best for | Quick questions while you work in MonetizeNow | Longer tasks, and work that spans MonetizeNow and other tools |
Sales reps
What you can do
- Look up accounts, contacts, quotes, contracts, subscriptions, and opportunities.
- Create a draft quote, add offerings with ramps and discounts, and set the quote's contacts and signers.
- Open a draft amendment or renewal on an existing contract.
- Add an automatic price increase at renewal to an offering on a quote.
- Bring an account and its contacts over from Salesforce when it isn't in MonetizeNow yet.
- Set an opportunity's primary quote.
Prompts to try
Look things up
- "Show me my open draft quotes, newest first by created date."
- "What offerings and discounts are on the latest quote for Acme Corp?"
- "When does Acme Corp's contract end, and what are its renewal terms?"
Build a quote
- "Create a quote for Acme Corp with the Pro Plan offering, 50 seats, starting March 1 for 24 months."
- "On that quote, ramp the Pro Plan to 50 seats in year 1 and 100 seats in year 2."
- "Give Acme a 10% discount on the Pro Plan for the first year."
- "Add a 5% price increase at renewal on the Pro Plan."
- "Make Jane Doe the primary and billing contact, and the e-signer."
- "Make this the primary quote on Acme's opportunity."
Change or renew a contract
- "Open an amendment on Acme's contract to add 20 Pro Plan seats from June 1."
- "What does this amendment change compared to the current contract?"
- "Start a renewal for Acme's contract and keep the same offerings."
Customers that are only in Salesforce
- "Acme Corp isn't in MonetizeNow. Import it from Salesforce. Its Salesforce account ID is 001am00002HOluUAAT."
Defaults to know
When you don't say otherwise, a new quote:
- Starts today and runs for 12 months.
- Requires e-signature.
- Uses your tenant's default renewal terms.
Say what you want in your prompt to change any of these, or ask the AI to update the quote afterwards.
What it won't do
- Send, submit, or accept quotes. Quotes, amendments, and renewals are always created as drafts. Submit them for approval and send them from MonetizeNow.
- Renew a contract automatically. It opens a draft renewal quote for you to review instead.
- Create an account from scratch. It can only import an account that already exists in Salesforce, together with its contacts.
- Replace your CRM process. If your team creates quotes from Salesforce opportunities, keep doing that.
Billing reps
What you can do
- Find and explain invoices, payments, credits, credit notes, and bill groups.
- Get the current stats for a bill group.
- Check an account's billing details and contracts.
- Billing Admins can also create an account-specific rate on an offering.
Prompts to try
- "Summarize invoice INV-1042 and explain each charge."
- "Which invoices for Acme Corp are unpaid, and how much is outstanding?"
- "Does Acme Corp usually pay its invoices on time?"
- "List the payments we received from Acme Corp this quarter."
- "What credits does Acme Corp have, and how much is left on each?"
- "Show me the stats for Acme Corp's bill group."
- "List the 10 most recent invoices by bill date, with account, amount, and status."
- "Create an Acme-specific rate on the Pro Plan offering at 80 USD per seat per month." (Billing Admin)
Tips
- When you ask for the latest or largest records, say which date or amount to sort by, for example "by bill date" or "by amount due".
- An account-specific rate needs a price for every product on the offering, including optional ones. Give them all in your prompt, or the AI will ask.
What it won't do
- Change invoices, payments, credits, or bill groups. It can read and explain them. Make changes in MonetizeNow.
- Run reports, unless your role allows it. Billing Admins can use the reporting tools below. Billing and Billing Read Only users can't.
Reporting users
Who can use reporting
You can ask reporting questions if you have one of these roles:
- Tenant Admin
- Billing Admin
- Sales Admin
- Sales Full
- Reporting
Other roles get an access message instead of results.
What you can do
- Ask questions in plain English. The AI finds the right reporting tables, checks the values stored in them, writes the query, and runs it for you.
- List your saved reports and the collections they're in, and run a saved report, with parameters if it takes them.
Prompts to try
- "What contracts are expiring this month?"
- "Who are our top 10 customers by invoiced amount in the last 12 months?"
- "How much new revenue did we sell each month this year?"
- "Which customers have paid late more than twice this year?"
- "What quote statuses can I filter on?"
- "List my saved reports in the Finance collection."
- "Run the ARR by Month saved report for Q3."
Tips
- Name the metric, the date range, any filters, and how to sort or group the results.
- Ask "which tables and filters did you use?" to check how the AI got an answer.
- Compare important numbers against a saved report before you share them.
- See AI Reporting for more tips and usage limits.
What it won't do
- Create or edit saved reports. It can run them and answer most of the same questions on demand.
- Change data. Reporting is read-only.
