How to handle quotes that are signed outside of MonetizeNow
When customers sign contracts manually outside of MonetizeNow, you have several options to process the quote depending on your specific situation.
Option 1: Turn off eSign and Manually Accept
If your quote has eSign enabled and requires approval, you can turn off eSign and manually accept the quote without re-sending to your customer.
To avoid losing approvals when turning off eSign, administrators can use the approval retention setting:
- Go to Quote Settings
- Select "Additional Settings"
- Enable "Allow administrator to retain approvals"
This allows you to update eSign settings while preserving existing approvals.
- Edit the quote to turn off eSign
- Resubmit the quote for approval (unless your admin has turned on the retain approvals feature)
- Choose "Sending Options"
- Click "Mark as Sent"
- Choose "Accept Quote" and upload the fully executed pdf
This is the only step in which you can upload your signed PDF
Option 2: Create an amendment
If a quote has already been signed but needs to be corrected (for example, wrong signer), you can:
- Process the original quote
- Create an amendment with the correct signer information
- Add custom language clarifying that the new document supersedes the previous one
Choose the method that best fits your workflow and approval requirements. The approval retention feature is particularly useful for organizations that frequently need to switch between eSign and manual processes.
