Approvals are steps required to be completed following Quote submission in order to be able to send the Quote to your prospect.

A common use case is requiring approval for heavily discounted deals or deals with long delayed start dates.

Keep an eye out for what triggers approvals while building your Quote so that you can make adjustments prior to submitting.

Sharing a Quote Link

Once a quote is approved, you can generate a secure shareable link link for your customer to review and accept. This eliminates the need to send the quote directly through email and allows customers to take action at their convenience.

How to Share a Quote Link

Go to → Quotes
Select the approved quote you want to share
Click Share on the right-hand side
In the Share modal:
- Under External Access, set an Expiration Date (optional)
- Click Share >> Copy Link
Send the link to your customer via email, CRM, or any preferred method

📌 Note: The link provides secure access until the expiration date.

What Customers Can Do with the Quote Link

Review the quote details
Update their Contact Information or PO Number
Add a Payment Method (if applicable)
Accept the Quote via:
- DocuSign (if enabled), or
- Direct acceptance (if configured without DocuSign)

Once accepted, the quote will be marked as approved.

Monitor External Access

You can monitor if the shared link has been accessed

Go to Quotes >> [Specific Quote] >> Share
Under External Activity, you can view the status

Why don't I see the "Externally" share option on my quote?	The Externally sharing option becomes available only after the quote has reached an APPROVED or SENT status. If your quote is still in draft or pending approvals, this option will not appear.
Can I control when external sharing becomes available?	This is currently tied to the quote status. Once the quote is formally approved or sent to the customer, MonetizeNow enables the secure external sharing option by default, no manual toggle required.
Where do I find the share settings?	Click the Share button at the top right of the quote screen. You'll see options for: Internal Access (within your org) & External Access (viewable by customers once enabled)
What does the expiration date do in external sharing?	You can set an expiration date for the external quote link. After that date, external users will no longer be able to access the shared quote. This adds a layer of security and urgency.
Why would this be status-gated?	To prevent premature sharing of incomplete or unapproved quotes. This ensures only finalized, customer-ready quotes are externally accessible.
