Legal Entity-Based Quote Document Management
We've enhanced how Quote Documents are managed in MonetizeNow to provide greater flexibility and control.
Previously, you could upload a single MSA, Cover, and Footer document in Quote Settings, and those documents were automatically added to every new quote. This configuration applied globally and could not be customized by Legal Entity.
This release introduces Legal Entity-based document management, while continuing to support global documents configured in Quote Settings.
✨ What's new
Legal Entity-Specific Document Control
Admins can now manage quote documents independently for each Legal Entity, including:
- Defining a document type (Cover, Footer, or custom types such as MSA, Order Form Attachment, Terms Addendum, etc.)
- Choosing whether the document appears before or after the Quote in the generated PDF
- Setting documents to:
- Automatically apply to all new quotes for that Legal Entity
- Remain optional for sales reps to add as needed
Improved Sales Rep Flexibility
During quoting, sales reps can:
- Drag and drop to reorder documents or move them before or after the quote
- Remove documents when appropriate
- Click Choose Existing Document to add optional Legal Entity documents
- Upload ad-hoc PDF documents and define their type and placement
🔄 Migration of existing documents
No action is required for existing documents. All documents previously uploaded in Quote Settings are automatically migrated to the new UI:
- Existing Cover, Footer, and MSA documents remain available.
- The Document Type is automatically assigned based on where the document was previously configured (Cover, Footer, or MSA field).
- Any global documents defined in Quote Settings continue to automatically apply to new quotes, preserving your current behavior.
✅ Why this matters
- Greater control across multiple Legal Entities
- More flexible document packaging
- Centralized compliance management
- A better quoting experience for sales teams
